Frequently Asked Questions

Q: Do you require a deposit?

A: West Apple Tours does require a deposit of $25.00 for every reservation booked up till 30 days before departure.  If you make your reservation less than 30 days of the departure date, payment in full will be required.

Q: Do you cancel tours and how often?

A: Tours do cancel, but how often depends on you.  In most instances West Apple Tours is required to have all rooming lists and deposits to hotels and attractions turned in at least thirty (30) days in advance, in some instances it may be 60 days. You can help us avoid cancellations by booking your tour early and encouraging friends to join you and book early as well. This will help ensure that we have the minimum required signed up and registered by our hotel and attraction deadlines.

A deposit must be received within 10 days to confirm your reservation.  If a deposit is not received, your name may be removed from our registration roster.  West Apple Tours accepts payment on tours in the form of Personal Check, Cash or Money Order.  Sorry we do not accept credit cards at this time.

Tour Directors/Escorts:

All West Apple Tours multi-day tours are escorted by a congenial highly trained tour director.  They are knowledgeable, courteous, and wish to see your comfort while on board the motor coach.  They are responsible for all details from the beginning to the end of the tour so you can enjoy a carefree and memorable vacation.  Any special request should be brought to the attention of the escort on the first day of travel.  Any concerns should be brought to their immediate attention while on the trip.

There may be rare occasions when we deem it necessary to run a tour without a tour escort.  For example, when the numbers on a tour are too low but we run it anyway so as not to disappoint our travelers already booked.  Or one day trips when passengers spend the entire day on their own.

Responsibility:

West Apple Tours has made arrangements with hotels, transportation services and other independent parties beyond its direct control to provide you with the travel services offered.  We cannot be responsible for the acts or omissions of these parties, or anyone other than West Apple Tours own employees.    West Apple Tours will not be liable for any loss or damage, injury or death that occurs as a result of Government actions, acts of God, late arrivals, missed connections and other factors beyond our direct control.  We also reserve the right to cancel or alter any advertised tour or portion thereof.

When a Tour Must Be Cancelled:

The cost of each tour is based on the assumption that a specified minimum number of persons will participate.  Thirty days before departure, we check the reservation lists to see if that required number has signed up.  If the list is reasonably close, will run the tour.  Occasionally only a few reservations have been received, and a decision to cancel must be made.  We then notify everyone with reservations and refund their money in full.  We hate to cancel a tour but under those circumstances, it cannot be avoided.  Before a tour is offered, we spend many hours writing itineraries, making lodging reservations, contacting attractions, etc.  All of these efforts are lost if the tour cancels.  You can help us avoid cancellations by making your reservations (and encouraging your traveling friends to make theirs) early. 

Traveler Cancellation and Refund Policies:

Regardless of reasons, cancellations result in costly and time consuming processes.  For this reason we follow a strict cancellation and refund policy.  If you should need to cancel your reservation prior to 45 days before departure of any trip, a full refund will be given.

Cancellations occurring less than 45 days before departure will result in a $15.00 cancellation fee. 

Cancellations less than 30 days of departure will result in a forfeit of the total reservation payment.  No refunds will be issued for no shows.

No refunds will be issued for tours, attractions, meals, etc. in which individuals do not participate.

No Smoking Policy:

Smoking is not permitted and is prohibited by federal law on any West Apple Tour.  Rest stops are made every 2-3 hours to give those who smoke ample opportunity to do so.  We strictly enforce this policy on our coaches.

Your Health:

Your health and physical condition are important.  Any physical and/or mental disability requiring attention or treatment must be reported when booking your reservation.

Any person who cannot travel independently and who would need assistance must be accompanied by a traveling companion who will be able to assist this person.  West Apple Tours reserves the right to revoke acceptance of any passenger whose mental or physical deficiencies or disabilities, or dietary requirements, add to the responsibilities of the tour operator or escort.
